MCLGA  Centenary Sub-Committee

Note of Meeting Held On Monday 29th September 2008

Present:   Gillian Kirkwood (Convener), Ellice Cackett (Captain MCLGA)  Tracy Laughland (Vice-Captain MCLGA) Linda Caine, Agnes Leslie, Janet Wake Mairi Pollock, Karen Ballantyne

Apologies:  Maggie McPherson, Noreen Fenton and Pamela Williamson

Ball Markers:  The design was chosen – 600 to be ordered, and it was agreed that Agnes would arrange for a ball marker to be put into each envelope containing the subscription notice.

Janet would advise Pamela of decision.  Action:  Janet, Pamela and Agnes

Arrangements for the Lunch on January 24th 2009

Maggie had sent a report to the meeting.  Agnes had distributed information about the Centenary Lunch to club Representatives at the August meeting.  The Reps were asked to encourage their members to take a table.

The information distributed to the Reps was:

Poster for the notice board advertising the event

Copy of the menu

List of their Midlothian members

Letter to the reps with appropriate instructions one of which was to invite former members to the lunch

Complete menu list and cheques to be returned to Agnes by 14th October (being the date of the next Committee Meeting.)

Following receipt of cheques, Agnes would issue a ticket for the lunch to each paid up member.

Maggie had written, on behalf of the Centenary Committee to:

Past Captains

Officer Bearers –Secretaries, Treasurers, Junior Secretaries and Selectors

Past Champions

County Players

Notable Past Juniors.

It was also thought that a sub committee should be appointed to deal with the lunch arrangements who would report back to the Centenary committee and request  assistance when required.

Sub Committee:  Ellice, Agnes, Maggie and Tracy and one other if required.

Agnes and Maggie would co-ordinate the arrangements for all those attending the lunch. All forms to be passed to Agnes, who would issue tickets.  Agnes would prepare spreadsheet with full details of all those attending and would prepare table plans. Names and menu selections would be passed to Maggie, who would prepare name place cards with the menu selected noted thereon.  Tracy & Gillian would prepare top table plan and advise top table guests.  Actions Agnes, Maggie, Tracy & Gillian

Domestic arrangements:

Napkins  -  Ellice to liaise with the hotel to see what kind of napkins would be used and if anything else was required – e.g. ribbons. Etc.   Action Ellice

Menu Card  -  to be formalised.   Action Ellice

Place Cards  - (the place card would also include the menu choice of the guest) Action Maggie

Table decorations.  There would be no floral arrangements instead there would be balloons (3 per table) with weights.  Tracy advised that the hotel should be consulted to ascertain if helium balloons were allowed.   -  Action Ellice

It was agreed that the PA system be hired from the hotel at a cost of £200.  Action Maggie/Ellice

Gillian said she would liaise with the speakers to confirm their topics.

Flowers will be presented to Elspeth Burnside, Helen Faulds and Ethel Jack.

Flowers to be ordered from M&S and delivered to the Hotel.  Action Agnes.

Centenary Competition – Duddingston Golf Club

The format would be a tri-am .  Members could enter individually or in threes. It was agreed that the three counties within in East Division would be invited to enter a team.

Discussion took place on prizes

Nearest the hole at the 16th

Silver division nearest the hole at the 18th

Bronze nearest the hole at the 5th.

(the above to be finalised nearer the time)

Winners would be best net on full handicap.

Estimated cost would be between £500-£700

Book

The book Subcommittee had met and would meet again shortly.  Progress was continuing on the preparation of the material for publication.
